What are final entries?
You need to submit a syllabus entry for every candidate who is planning to take an examination in the relevant examination series. We use your entries to work out the number of question papers and provide examination materials, such as attendance registers and bar-coded labels. Check your entries carefully before you submit them. We charge late entry fees for any entries or amendments you submit after the entries deadline. Read the Cambridge Guide to Making Entries, which contains syllabus and option codes and detailed instructions for submitting entries. Make sure you use the correct version for your administrative zone.
You must make final entries for each candidate for each syllabus and option required. If you do not make final entries, Cambridge cannot administer, moderate or mark the assessment. Cambridge uses final entries to ensure that you receive the materials you will require for the examination series, such as:
- question papers
- internally assessed marksheets
- Forecast Grade Forms
- Attendance Registers
- barcode labels
Where do I find details on how to make entries?
The Cambridge Guide to Making Entries is a document outlining the procedures to be followed when making final entries for the following qualifications:
- Cambridge IGCSE
- Cambridge O Level
- Cambridge International AS/A Level
- Cambridge Pre-U
The Guide to Making Entries booklet for your school can be downloaded from the Support Materials section of CIE Direct. Guide to Making Entries booklets for May/June are despatched in October of the previous year. Guide to Making Entries booklets for October/November are despatched in March of the same year.
What are the deadlines for submission of entries to Cambridge?
All entries must reach Cambridge by:

After these dates any further entries or amendments will be subject to late entry fees. Please refer to the Fees List for more information.
What are the entry fees?
Cambridge will charge an entry fee per syllabus per student. An additional local fee may be payable to a parent organisation, if appropriate.
Current Fees Lists are now available to download under the My Messages section of the CIE Direct website. Please note that the 2014/2015 Fees List covers examinations taken in the period October 2014 to September 2015.
Candidates should contact the exams officer at their school for more information on fees.
Can schools make amendments to their final entries?
Entry amendments are any changes made to the entries of a school after the final entry file is submitted for first time. Cambridge will accept entry amendments provided that the appropriate late entry fees are paid, until the following dates:
• 11 March for May examinations (Checkpoint)
• 17 April for June examinations (General Qualifications)
• 16 September for October examinations (Checkpoint)
• 30 September for November examinations (General Qualifications)
We cannot guarantee to accept entries or amendments after these dates because there may not be sufficient time to provide schools with the question papers and administrative documents required to conduct the examination. Any requests of this type after these dates will be dealt with as very late entries on a case by case basis.
Amendments to syllabus entries and/or options that are received after the closing date for entries are subject to a late entry fee. You can find details of the late entry fee rates in the Fees List available from the My Messages section of CIE Direct.

How do I make amendments to the entries?
The CIE Direct website will show all entries recorded for your school. If there are any amendments that need to be made after viewing the website, please follow the instructions below:
- If you have submitted your entries online using the entries dashboard, you can make the required changes online and submit the amendments to Cambridge on the 'Amendments to Submit' tab.
- If you are using Direct Desktop, you can make amendments under the Candidates tab once your initial entries have been processed, and submit these to Cambridge in the usual manner.
- If you are a UK school and you are using your MIS system, you should generate an entry amendment file and submit this to Cambridge. Please contact your MIS provider if you are unsure how to do this.
- If you are using the Final Entry Form, all entry amendments should be submitted by amending the original Entry Form and submitting the revised version to Cambridge. Please identify the revised Entry Form as amendments.
Amendments to entries can be made at any time before the entry deadline. After the deadline, any amendments will incur a fee. For more information on these fees, please refer to the Fees List.
How do I confirm my entries are correct?
Schools can check their entries are correct using CIE Direct. Click on Administer Exams and then Reports and you will be able to see all entries that your school has made. CIE Direct will be updated within around 24 to 48 hours of your entries being processed.
IMPORTANT: The student name shown on the Statement of Entry is the name that will be printed on Statements of Results and certificates. It is important that students confirm that the name shown is in the correct format at this stage. Cambridge charges an administrative fee for making amendments to certificates after they are published. You must give students, including private candidates, the opportunity to check all details recorded on their Statement of Entry.
Once your entries have been processed, you will also receive the following confirmation documents in hard copy to verify the entries have been received:
Student entry list: This provides a summary of all entries made for the school, listing each student and the syllabus and options for which they have been entered.
- Centre summary of entries: This shows the total number of entries made for each syllabus and option.
- Centre entry warning list: This provides a warning of potential timetable clashes for individual students.
You should send all entry amendments that result from checking your Statements of Entry as soon as you have completed the check.
Changes to the Cambridge entries confirmation despatch for UK centres
From June 2015, schools in the UK will no longer receive hard copy statements of entry in their entries confirmation despatch. You can download a statement of entry for each candidate entered by the final entries deadline from the ‘Check Entries’ tab of CIE Direct or from your MIS package. Show these statements to all your candidates so they can check that the details on the statements are correct. The student name shown on the statement of entry is the name that will be printed on their statement of results and certificate so it is important that students confirm at this stage that the name shown is correct. Cambridge charges an administrative fee for making amendments to certificates after they are published.

After you have checked the documents in your entries confirmation despatch and on CIE Direct, please make any necessary entry amendments as soon as possible.
Can I make late entries?
Cambridge will charge late entry fees for any entries received after the final entry closing date. Late entry fees will also be charged for changes to entry options received after the final entry closing date. For more details of the fees that apply to late entries, please refer to the relevant Fees List, which you can download under the My Messages section of your CIE Direct account.
